SWS and the housing corporation Hhvl joined forces through the establishment of the company WOONBEDRIJF in order to deliver a substantial contribution to the housing market in the South-east of Brabant. As a result of this initiative the need rose for a new management information system.
WOONBEDRIJF selected Bizzscore as the best suited software solution, based on the possibility to implement the software in a fast way and the tool being a good match for their data warehouse. Due to the integration of the two companies SWS and Hhvl, changes and shifts in performance indicators were to be taken in consideration. In less than 5 months Bizzscore was successfully implemented. The results: “Transparent management information resulting in more time left for analyzing data instead of time spent on gathering data”.
The Organization SWS and the housing corporation Hhvl have engaged in a quest to deliver a substantial contribution to optimize the functioning of the housing market in the South-east of Brabant. In order to realize this, these two companies merged into “WOONBEDRIJF”.
Quality Improvement and Innovation Because WOONBEDRIJF will undertake a broad spectrum of activities directly after the transitional phase to be quickly granted the quality standard KWH. Innovation will be given high priority to deliver flexible and high-quality housing products and services. This will result in new products, such as interaction via ICT at new estate houses, connecting houses to fiberglass networks, numerous new estate and renovation projects and participation in joint venture projects with third parties that will be initiated in the short run.
The Cause Due to the depth of the intercompany collaboration management information was required and needed to be available in the short run. WOONBEDRIJF’s current systems were not able to satisfy this need, therefore WOONBEDRIJF started to search for alternative software in 2005. Primarily WOONBEDRIJF needed a system for the board of directors and supervision holders that could deliver central available management information and fast realizable reports. In February 2005 WOONBEDRIJF chose Bizzscore. John Raven, Controller, argued that Bizzscore made it possible to generate management reports quickly, functioned perfect in a data warehouse and served the wishes of WOONBEDRIJF. Raven commented: A flexible, powerful software package with a short implementation time.
The Implementation Prior to the implementation of Bizzscore WOONBEDRIJF was faced with the fact that the management information would be vulnerable to changes due to the integration of SWS and Hhvl. It was decided to use the current management information as a basis to develop a new platform. Uniform and consistent performance indicators were defined based on a short inventory consisting of interviews about performance indicators at both parties. WOONBEDRIJF gained a straight and clear insight in the performance of both SWS and Hhvl through the development of generic performance indicators in Bizzdefiner, which made it possible to merge, view and report the performance of both parties in one dashboard. A clear view on what data was required from the data warehouse was gained through the structuring of the performance indicators.
In order to manage the supply of data most efficiently the company QplusO, which was responsible for the implementation of Bizzscore, made good use of Bizzscore’s calculating and data sourcing capabilities. Ron de Leeuw, project manager at QplusO, commented: “Bizzscore is consolidating the results of its performance indicators by itself, therefore reduces the number of links to a minimum and can be more easily managed.
Through the data warehouse WOONBEDRIJF retrieves data from the data sources systems; NCCW, the housing allocation system Qvision and the project administration. Bizzscore automatically retrieves, by means of Bizzdata, data sources from the data warehouse periodically.
The implementation resulted in 22 automated dashboards, including one top dashboard, two scorecards for the involved parties and scorecards per company division. WOONBEDRIJF can perform analyses and drilldowns providing information from the top dashboard reaching to the lowest level in the organization. Among others, WOONBEDRIJF can view development of both SWS and Hhvl through a matrix structured report.
The formulation of straightforward procedural agreements is vital for Performance Management to be successful at WOONBEDRIJF. This resulted in agreements about preceding steps whenever an indicator ‘transformed into red’. Follow-up steps such as making use of the remark and action points which you can insert into Bizzscore as an end user.
